Privacy & Confidentiality Policy

Last Updated: September 2026

ResearchMD (“ResearchMD,” “we,” “us,” or “our”) respects the privacy and confidentiality of our students, applicants, faculty members, healthcare professionals, website visitors, and other users of our services. This Privacy & Confidentiality Policy explains how information may be collected, used, protected, and disclosed when you visit our website, enroll in our programs, participate in our educational activities, or otherwise interact with ResearchMD.

1. Information We Collect

When you use ResearchMD's website or services, we may collect information that you voluntarily provide, including your name, email address, telephone number, educational background, professional or academic information, enrollment information, payment-related information, communications with ResearchMD, and other information necessary to administer our educational programs and services.

We may also automatically collect certain technical information when you use our website, such as your IP address, browser type, device information, pages visited, cookies, and similar usage information.

Payment information may be processed through third-party payment providers. ResearchMD may not directly store complete payment-card information when transactions are processed by such providers.

2. How We Use Your Information

ResearchMD may use collected information to provide and administer our educational programs and services; process registrations and payments; communicate with participants; provide course materials, certificates, evaluations, and other program-related services; respond to questions and support requests; improve our website and educational offerings; maintain security and prevent misuse; and comply with applicable legal or regulatory requirements.

We do not sell personal information for monetary consideration.

3. Educational and Clinical Confidentiality

Certain ResearchMD programs, including telerotation and other clinically oriented educational activities, may involve discussions of clinical scenarios, medical documentation, or patient-related information for legitimate educational purposes.

Participants are expected to maintain strict confidentiality regarding any patient-related or otherwise confidential information encountered during these activities.

Participants must not photograph, screenshot, record, download, reproduce, publish, post on social media, transmit, or otherwise disclose confidential patient information or educational materials containing confidential information without appropriate authorization.

Where applicable, patient information used for educational purposes should be appropriately de-identified and handled in accordance with applicable privacy requirements and the policies of participating healthcare professionals and institutions.

4. Participant Confidentiality

ResearchMD also respects the confidentiality of its participants. Personal, academic, evaluation, and performance-related information will be used for legitimate educational, administrative, and program-related purposes.

Information concerning a participant's performance, evaluations, eligibility for certificates, letters of recommendation, or other academic outcomes may be shared with authorized ResearchMD faculty, Program Directors, administrators, or other persons involved in administering or evaluating the applicable program.

ResearchMD will not intentionally disclose confidential participant information to unrelated third parties except with authorization, as reasonably necessary to provide requested services, or as required or permitted by law.

5. Letters of Recommendation and Evaluations

Participation in a ResearchMD program does not automatically guarantee a letter of recommendation unless expressly stated otherwise in the applicable program terms.

Letters of recommendation, evaluations, and similar academic or professional endorsements may be based on factors such as participation, professionalism, attendance, engagement, knowledge, communication, completion of assigned responsibilities, and overall performance, as determined by the evaluating faculty member or Program Director.

The content and issuance of any letter of recommendation remain subject to the independent professional judgment of the individual providing the recommendation.

6. Third-Party Service Providers

ResearchMD may use third-party providers to support services such as website hosting, communications, videoconferencing, payment processing, learning-management systems, analytics, and other business operations.

Information may be provided to these service providers when reasonably necessary for them to perform services on our behalf. Their handling of information may also be governed by their respective privacy policies and contractual obligations.

7. Cookies and Website Technologies

ResearchMD's website may use cookies and similar technologies to operate the website, understand how visitors use it, improve functionality, remember preferences, and support analytics or other legitimate business purposes.

Where required by applicable law, users may be provided with choices regarding non-essential cookies or tracking technologies.

8. Data Security

ResearchMD takes reasonable administrative, technical, and organizational measures designed to protect personal and confidential information from unauthorized access, loss, misuse, alteration, or disclosure.

However, no internet transmission, electronic communication, or information-storage system can be guaranteed to be completely secure. Users should therefore exercise appropriate care when transmitting sensitive information electronically.

9. User Responsibilities

By participating in ResearchMD programs, users agree to respect the privacy and confidentiality of patients, faculty, other participants, and affiliated organizations.

Unauthorized recording, copying, distribution, disclosure, or publication of confidential information obtained through ResearchMD programs may result in removal from a program or other appropriate action, subject to applicable program policies and law.

10. Disclosure Required by Law

ResearchMD may disclose information when reasonably necessary to comply with applicable law, regulation, court order, subpoena, legal process, or lawful governmental request, or when necessary to protect the rights, safety, or security of ResearchMD, its users, or others.
